Introduction
A purchase order is the record of tickets you bought. SeatHQ creates one every time you add tickets, so every set of tickets you add appears on the Purchase Orders page.
This guide shows you how to open your purchase orders and read the list: what you bought, for which event, where you bought it, how much has sold and what it cost.
The numbers in brackets, like (1), match the numbered markers in the screenshots.
Step 1: Open Purchase Orders
Point to Accounting (1) at the top of the page and click Purchase Orders (2).
Tip: If you're already on a page under Accounting, such as Purchase Accounts, pointing to Accounting doesn't open a menu. Click Purchase Orders in the row of tabs under the top menu instead.
Step 2: Check the Number of Purchase Orders
The Purchase Orders tab (1) shows how many purchase orders are in the list, for example 28. The Filters button (2) is at the top left, above the list. On the right of the same row are View: No view (for saved views), the Columns icon and the Density icon (see How to Save, Apply and Reset Table Views and How to Sort, Show or Hide Columns and Change Row Spacing).
⚠️Important: Sold-out purchase orders and purchase orders for past events are hidden by default. Use Filters (2) to show them (see How to Filter and Sort Your Purchase Orders).
Step 3: Read the Columns
Each row is one purchase order, with the newest first. Read across the row:
- PO ID (1): the purchase order number, for example PO-15033.
- DATE: when you bought the tickets.
- EVENT: the event, with the event date below it. A +1 more tag (2) means the purchase order covers more than one event. If those events are at different venues, VENUE shows Multiple venues.
- VENUE: the venue, with the city below it.
- SOURCE: where you bought the tickets, for example TicketMaster, AXS or Stubhub.
- QTY: the number of tickets.
- SOLD % (3): how much of the purchase has sold, for example 33%.
- COST (4): what you paid for the tickets.
Tip: Click any row to open the purchase order's details (see How to Open a Purchase Order and See Its Details).
Step 4: Check the Totals at the Bottom
The footer at the bottom of the list shows:
- How many purchase orders are on this page out of the total (1), for example 25 of 28 purchase orders.
- The Total Qty and Total Cost (2) of all the purchase orders in the list, on every page.
- The page arrows (3), with the page you're on, for example Page 1 of 2.
- Rows per page (4), to show more rows at once.
Tip: The number on the Purchase Orders tab, the count in the footer and the totals change when you filter the list.
Step 5: Move to the Next Page
Click the › arrow. The page number changes to Page 2 of 2 (1), and the footer shows which rows you're looking at, for example Showing 26–28 of 28 rows (2).
Tip: Use ‹ to go back a page, or the arrows with a bar to jump to the first or last page.
Frequently Asked Questions
Why don't I see all my purchase orders?
Sold-out purchase orders and those for past events are hidden. Click Filters, tick Show sold out or Show past events, then click Done. Also check that none of the filter boxes under the column headers are filled in.
What does +1 more mean in the EVENT column?
That purchase order includes tickets for more than one event. Open it to see each event and its tickets.
Can I download my purchase orders?
There's no download option on the Purchase Orders page, but you can download your purchases as a CSV file from the Purchases report. In the top menu, point to Reporting and click Purchases. The Purchases report opens. Click the date button at the top left of the report and pick a date range that covers when you bought the tickets. Then click the Export icon (Export CSV) in the report's toolbar at the top right. It appears once the report shows rows. The file has one row per purchase line, each with its purchase order number. For more about reports, see How to Open Reports and Run a Report.
